The Lactation Collection is a service line of Prenatal Insights, LLC (“The Lactation Collection,” “Company,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, disclose, store, and protect information when you visit our website, contact us, schedule services, complete forms, participate in classes or support groups, communicate with us, use our online resources, or receive services from The Lactation Collection.

This Privacy Policy applies to The Lactation Collection’s website, online forms, client communications, scheduling processes, educational resources, classes, support groups, telehealth services, and related services. If another Prenatal Insights, LLC service line, program, or clinic has a separate privacy policy or notice, that policy or notice may also apply.

This Privacy Policy is intended to describe general website, business, communication, and client privacy practices. If and when The Lactation Collection is acting as a healthcare provider or HIPAA-covered entity, protected health information may also be governed by HIPAA and by our Notice of Privacy Practices, if applicable. If there is a conflict between this Privacy Policy and a HIPAA Notice of Privacy Practices regarding protected health information, the Notice of Privacy Practices controls.

We may collect information directly from you, automatically through our website or online tools, from your healthcare providers or referral sources, from insurance or payment-related entities, and from third-party platforms used to provide services.

Protected Health Information and HIPAA

Some information collected by The Lactation Collection may be protected health information, also called PHI, when it identifies you or your baby and relates to health, healthcare, payment for healthcare, lactation care, medical services, or related services.

When HIPAA applies, we use and disclose PHI as permitted or required by HIPAA, applicable law, our Notice of Privacy Practices, client consent or authorization, and our business associate agreements.

PHI may be used or disclosed for treatment, payment, and healthcare operations, including care coordination, documentation, provider communication, billing, claim submission, payer documentation, payment processing, quality improvement, privacy/security compliance, and related healthcare operations.

Business Associates, Vendors, and Service Providers

We may share information with trusted vendors, contractors, business associates, platforms, or service providers who help us provide services, operate our business, maintain records, process payments, communicate with clients, support website functionality, or comply with legal and healthcare requirements.

Insurance companies, payer portals, clearinghouses, or billing platforms
Payment processors, banks, credit card companies, Venmo, or other payment-related entities
Teachable or other course platforms

Website hosting providers, including WPEngine or other hosting providers
Website analytics, security, maintenance, or technology vendors
AI-assisted documentation, transcription, or note-generation tools approved by the Company
Legal, accounting, insurance, compliance, credentialing, or professional advisors
Independent contractors, administrative team members, and approved personnel working on behalf of The Lactation Collection

When required by HIPAA, vendors or contractors who create, receive, maintain, transmit, use, or disclose PHI on our behalf must have an appropriate Business Associate Agreement or other required safeguards in place.

Communication by Email, Text, Phone, and Secure Messaging

We may communicate with you through Company-approved methods, which may include secure messaging, Company-managed email, Company-managed phone or text messaging, telehealth platforms, or other Company-approved systems.

Standard email and text messaging may carry privacy risks. By providing your contact information and choosing to communicate by email or text, you authorize The Lactation Collection to communicate with you through those methods, including communications that may involve your or your baby’s health information.

Do not use email, text, voicemail, website forms, social media, or payment notes for emergencies or urgent medical concerns. The Lactation Collection does not provide emergency medical care, and communications are not monitored for emergencies.

Payment Information and Venmo

We may collect and use payment information to process payments, manage invoices, issue refunds, handle chargebacks, collect unpaid balances, and communicate with payment-related entities.

Accepted payment methods may include credit/debit cards, HSA/FSA cards, Company-approved Venmo, cash if accepted under Company policy, or other Company-approved payment methods.

Some payment platforms, including Venmo, may not be HIPAA-compliant. If you choose to pay through Venmo or another non-HIPAA payment method, you understand this may disclose that you received services from The Lactation Collection. You should not include PHI, diagnoses, clinical details, feeding concerns, visit details, or other health information in Venmo descriptions, payment notes, or other payment messages.

AI-Assisted Documentation and Technology

The Lactation Collection may use Company-approved, secure, HIPAA-compliant technology, which may include AI-assisted documentation, transcription, or note-generation tools, to support accurate and efficient recordkeeping.

These tools are used to assist with documentation and do not replace the professional judgment of a lactation consultant or licensed healthcare provider. Information is handled according to applicable privacy and security standards, Company policy, and applicable business associate or vendor agreements.

We do not authorize team members or contractors to use personal AI tools, transcription tools, recording tools, or note-generation tools with PHI unless approved by the Company and permitted by applicable privacy requirements.

Photos, Videos, Testimonials, Events, and Client Stories

The Lactation Collection may take general photographs or videos during public classes, support groups, community events, trainings, or other group offerings for documentation, education, website, social media, marketing, or promotional purposes.

By attending a public class, support group, community event, training, or group offering, attendees understand that general event photography or videography may occur. These photos or videos may include group photos, crowd images, room/activity photos, class participation, event setup, educational activities, or other general event content.

The Lactation Collection will make reasonable efforts to avoid using images in a way that discloses private health information, sensitive clinical details, or individualized care information. The Lactation Collection will not intentionally publish private clinical information, case details, feeding concerns, intake information, medical information, or other sensitive personal details without appropriate authorization.

Attendees who do not want themselves or their child photographed or recorded should notify The Lactation Collection before or during the event. The Lactation Collection will make reasonable efforts to avoid photographing or publishing identifiable images of individuals who opt out.

Separate written authorization may still be requested for close-up images, testimonials, client stories, individual before/after or care-related content, images used in a way that highlights a specific client or child, or any use involving identifiable health information, case details, clinical circumstances, or sensitive personal information.

Declining media use will not affect access to care, services, classes, or support groups.

Marketing Emails and Communications

If you choose to receive marketing or educational emails from The Lactation Collection, we may use your contact information to send educational resources, updates, class information, event information, service announcements, or support resources.

Marketing emails are not used for urgent or clinical communication. You may unsubscribe from marketing emails at any time.

Social Media

The Lactation Collection may maintain public social media accounts for general education, marketing, and community connection. Social media is not used for individualized clinical care, diagnosis, treatment, prescription guidance, lab interpretation, emergency advice, or secure communication.

Please do not send PHI, urgent concerns, private medical details, photos, videos, lab results, prescription questions, or emergency messages through social media comments or direct messages.

If you interact with our social media accounts, your interactions may be visible to others according to the privacy settings and policies of the social media platform.

Website Forms and Contact Forms

Information submitted through website forms or contact forms may be used to respond to your inquiry, provide scheduling information, direct you to appropriate services, or support business operations.

Website forms should not be used for emergencies, urgent medical concerns, private clinical details, or time-sensitive health concerns.

Classes, Courses, and Support Groups

If you register for or participate in a class, course, support group, or community event, we may collect registration information, payment information, attendance information, communication preferences, and any information you choose to share.

Support groups and classes may involve general education and community support. They are not a substitute for a full lactation consultation or medical visit unless you separately schedule or receive a documented consultation or medical service through The Lactation Collection.

If you participate in a group setting, other participants may hear or see information you choose to share. Please use discretion when sharing personal or health information in a group environment.

Telehealth

The Lactation Collection may offer telehealth services through Company-approved platforms. Telehealth may involve privacy risks, technology limitations, and limitations in assessment.

You are responsible for choosing a private location for telehealth visits when possible and for using a secure device and internet connection when available.

How We Share Information

We may share information:

With your lactation consultant, licensed healthcare provider, or approved care team member
With your baby’s healthcare provider, your healthcare provider, or other providers involved in your care when appropriate
With insurance plans, TLN, Wildflower Health, DMBA, clearinghouses, payer portals, billing platforms, or payment processors
With vendors, service providers, business associates, or contractors who help us operate our business or provide services
With legal, accounting, compliance, insurance, or professional advisors
With government agencies, regulators, licensing boards, courts, law enforcement, or others when required or permitted by law
To protect client safety, public safety, Company operations, Company systems, or legal rights
With your written authorization when required
In de-identified or aggregate form when permitted

We do not sell protected health information.

Third-Party Websites and Links

Our website, emails, handouts, social media content, or educational materials may include links to third-party websites, products, services, referral providers, labs, pharmacies, course platforms, payment platforms, or resources.

We are not responsible for the privacy practices, security, policies, content, pricing, availability, or services of third-party websites or platforms. You should review the privacy policies and terms of any third-party websites or services you use.

How We Protect Information

We use reasonable administrative, physical, and technical safeguards intended to protect information from unauthorized access, use, disclosure, alteration, or destruction.

Safeguards may include secure systems, password protection, multi-factor authentication when available or required, restricted access, secure storage, staff/contractor training, business associate agreements when required, and privacy/security policies.

No system, website, electronic communication, or method of storage is completely secure. We cannot guarantee absolute security of information transmitted or stored electronically.

Record Retention

The Lactation Collection retains records according to applicable law, HIPAA documentation requirements, payer requirements, and Company policy.

Unless a longer period is required by law, payer contract, or Company policy, adult records are retained for at least seven years after the last date of service. Records involving minors may need to be retained until the minor reaches age 22, or at least seven years after the last date of service, whichever is longer. The Company follows the longer applicable retention period when required.

Your Privacy Rights

Depending on the type of information involved and the laws that apply, you may have rights to:

Request restrictions on certain uses or disclosures

The Lactation Collection provides services related to infants and children and may collect information about a baby or child as part of lactation care, medical care when applicable, documentation, billing, or care coordination.

A parent, legal guardian, or authorized representative may generally exercise privacy rights on behalf of a minor child, subject to applicable law.

Legal Requirements and Safety

We may use or disclose information when required or permitted by law, including for mandatory reporting, public health, safety concerns, court orders, subpoenas, law enforcement requests, regulatory investigations, licensing or certification matters, payer audits, legal claims, or other legal obligations.

We may also use or disclose information when reasonably necessary to prevent or address a serious threat to health or safety, protect clients, protect our team, protect Company systems, investigate privacy/security incidents, or comply with professional obligations.

We may update this Privacy Policy from time to time. The updated version will be posted on our website with a revised “Updated” date. Continued use of our website or services after an update means you acknowledge the updated Privacy Policy.
